Website Access & Publishing Standards

These rules apply to College of Medicine sites under chicago.medicine.uic.edu. We strive to keep a consistent, accessible and brand-aligned presence among all our websites.

Access policy

Chicago Campus website (shared primary navigation)

  • One editor per program. We can’t grant access to multiple users.

Department websites (separate department sites)

  • Multiple editors are allowed. Accounts are for active editors only; dormant users must be removed before requesting new access.

User requirements

Website editors must:

  1. Actively maintain their pages (post, edit, and retire content).

  2. Understand and follow web best practices and WCAG 2.1 AA accessibility.

  3. Comply with UI COM brand and style guidelines.

  4. Follow the minimum best practices listed below.

  5. Keep content accurate, current, and reviewed on a regular cadence.

Best practices (minimum)

  • Structure: Use proper headings (H1–H3 order), short paragraphs, and scannable lists. Do not use header tags for formatting purposes.

  • Links: Use descriptive link text (no “click here”); check for broken links. Open external links in a new window.

  • Images: Provide meaningful alt text; avoid images of text; ensure color contrast.

  • Documents: If you must post a PDF/Word/PowerPoint file, you must make it accessible (tagged, readable order, real text). Please refer to accessibility webpage for resources. Non-accessible content should not be posted or linked from the website.

  • Media: Media cannot be stored on the website. It must be stored off-site and linked. Provide captions/subtitles and transcripts for all media.

  • Content hygiene: Remove outdated pages/files; avoid duplicates; use approved logos and naming.

  • Performance & mobile: Optimize images/files. Do not upload files that are greater than 1 MB.

  • Quality check: Review spelling, dates, titles, and metadata before publishing.

  • Accessibility check: Ensure any content you created/link to (e.g., Box/Drive docs, PDFs, slides, videos, Panopto/YouTube) is accessible and compliant before linking. If it isn’t, remediate it, delete it or provide an accessible alternative.

Compliance & removal

If these requirements aren’t met, access may be revoked. Future changes must then be submitted via the web help desk: https://go.uic.edu/webhelp.
